01Personal Information We Collect
When you make an enquiry, we collect the details you provide, such as your name, phone number, email address, requested security service, property or site location and message.
When you engage us, we may also collect information needed to deliver and administer your service. This can include authorised contacts, site instructions, access permissions, billing details, patrol records and incident reports. For CCTV or access control services, relevant footage and entry records may also contain personal information.
Our website and its hosting or embedded services may process technical information such as IP addresses, browser details and request logs to deliver and protect those services. See our Cookie Policy for information about cookies and third-party features.
02How We Collect Information
We generally collect information directly from you through forms, calls, emails and service discussions. Depending on the service, we may also receive relevant information from an authorised client representative, property manager, monitoring provider or security incident record.
Where we collect personal information from another source, we take reasonable steps to provide the notice required by the Privacy Act 2020 as soon as reasonably practicable, unless an exception applies.
Providing information through an enquiry is voluntary. If you do not provide details needed to understand your request or contact you, we may be unable to prepare a quote, respond or provide the requested service. Please provide only information relevant to your enquiry.
03How We Use Personal Information
We use relevant personal information to respond to enquiries, assess security needs, prepare quotes, set up and deliver agreed services, communicate with authorised contacts, report on incidents, administer accounts and meet legal obligations.
We use information for the purpose for which it was collected, or another purpose permitted by law. We do not sell personal information.
05CCTV, Access Logs and Incident Records
Where our services involve CCTV, access control or site reporting, personal information is handled for relevant security and incident-management purposes. These may include managing authorised access, investigating incidents and supporting lawful reporting.
Our role may involve handling information on behalf of a client. Responsibilities for notices, access to records, storage and retention depend on the service arrangement and applicable law. Contact us if you are unsure who manages information about a particular site; we can help direct your request.
Footage and records are not automatically available to anyone who requests them. We consider identity, authority, the privacy of other people and any lawful grounds for withholding information before releasing it.
06Storage, Security and Retention
We take reasonable safeguards to protect personal information against loss, misuse and unauthorised access, use, modification or disclosure. Access is limited to people who need it for an authorised purpose.
We keep personal information only for as long as it is needed for a lawful purpose, including service delivery, incident management and applicable record-keeping obligations. CCTV and access-record retention depend on the system, purpose and service arrangement. Information is securely deleted or de-identified when it is no longer needed.
07Overseas Providers
Some technology or support providers may process or store personal information outside New Zealand. Where a provider processes information solely on our behalf, we take reasonable steps to protect it through appropriate arrangements. Where a disclosure to an overseas recipient is subject to the Privacy Act’s overseas-disclosure rules, we meet those requirements before disclosure.
08Access and Correction
You can ask for access to personal information we hold about you and request correction if you believe it is inaccurate. Email we@tenseven.co.nz with enough detail to identify the relevant records. We may need to verify your identity or authority before responding.
